Digital Solutions Needs Assessment

Improving the IVF patient experience extends beyond clinical excellence; it also relies on understanding where patients struggle, hesitate, or disengage across the treatment journey, and translating that understanding into solutions that genuinely ease the path to parenthood. A global pharma partner's customer solutions team wanted to move beyond passive scientific engagement by creating a workshop where young IVF clinicians could actively shape the future of digital patient support, rather than simply receiving finished solutions.

The objective was to surface authentic, ground-level clinical insight into patient barriers, build a shared, future-oriented view of the IVF journey across an international cohort, and translate that insight into prioritized, actionable concepts for digital and service innovation.

Our Approach

We supported a global pharma partner in delivering a workshop bringing together 25 HCPs from 13 countries to move from empathetic problem discovery to tangible, digital-solution concepts for the IVF patient journey. Our role spanned the full lifecycle of the meeting, from building attendee awareness and designing the interactive materials delegates used in the breakout sessions, through to developing the meeting's branding and polishing presentation content, to capturing and synthesising the insights generated on the day.

By combining engagement, content and insight-capture support, we helped ensure the workshop's ambitious format translated into a polished delegate experience and a clear, actionable set of takeaways for the client team.

How We Supported the Initiative

Attendee engagement

  • Produced an email campaign to build awareness and secure attendance ahead of the workshop
  • Designed bespoke interactive printed materials to support the breakout workshops, giving delegates hands-on tools for journey mapping and idea capture

Meeting branding and content development

  • Developed the meeting's PowerPoint template and led full deck beautification
  • Managed editorial review and MLR compliance
  • Designed and produced roll-up signage for the meeting

Insight generation

  • Provided onsite medical writers to capture insights live, directly from the breakout discussions
  • Developed an internal meeting report, translating the raw workshop output into key insights and commercial takeaways for the client team

Outcomes

  • A shared, future-oriented view of IVF patients across generations and what that means for clinical practice
  • Clear, structured feedback on which existing solutions are working, which need refinement, and where unmet needs remain
  • A prioritized set of opportunity areas for improving the IVF patient experience and outcomes through digital and service solutions
  • A stronger sense of partnership with young IVF clinicians, positioning them as co-designers of the next five years of IVF care – rather than end recipients of it
